Export Documentation Checklist for First-Time Importers

Know which papers to expect before the vessel sails — and which gaps cause the most expensive delays.

For many first-time importers, the surprise is not the freight rate — it is a container that arrives without a complete document set. Destination customs may hold cargo, banks may refuse L/C presentation, and demurrage charges can erase the margin on an otherwise good purchase.

Core commercial documents

Every shipment should include a commercial invoice and packing list that match each other and the booking. Invoice values, HS codes, and Incoterms must be consistent with your purchase contract. Packing lists should show bag counts, net/gross weights, and container numbers.

Transport evidence

Ocean shipments rely on a bill of lading (or sea waybill where negotiated). Air shipments use an AWB. Confirm whether you need an original B/L for negotiation or if telex release / express release is acceptable for your payment terms.

Origin and phytosanitary papers

Certificate of Origin (preferential or non-preferential) and phytosanitary certificates are routinely required for agro goods. Request draft copies for review before originals are finalised — correcting a typo after sailing is painful.

Quality evidence

  • Certificate of Analysis (moisture, purity, aflatoxin where relevant)
  • Fumigation certificate when destination phytosanitary rules require it
  • Insurance certificate for CIF contracts

Payment-linked sets

If you pay under letter of credit, treat the L/C as a checklist. Ask your exporter to confirm — in writing — that every required document and wording can be produced before cargo is stuffed. Discrepant documents are one of the most common causes of delayed payment and strained relationships.

A practical buyer habit

Ask for a document checklist at the quotation stage. Reputable exporters already work this way. If a supplier resists sharing drafts or timelines, treat that as a diligence signal.
